FAQ

Straight answers. No fake urgency.

Not for medical records. FilesDue is not built for health data (PHI) or HIPAA use.

Who is FilesDue for?

Accountants, bookkeepers, lawyers, architects, and similar professionals who collect documents from clients.

Can I use it for medical records?

No. Not for medical records. Don't ask for or upload lab results, health claims, or other health data. FilesDue is not built for protected health information (PHI) or HIPAA use.

Do clients need an account?

No. They open one link and upload on mobile or desktop.

How do reminders work?

Email reminders go to the client on day 2, 5, 9 after you send the request, then once a week (day 16, 23, and so on). Each reminder lists only the items still missing. Reminders are checked once an hour. They stop when: every required item is uploaded or marked N/A (the request is complete); you pause reminders for that request; the client clicks the pause link in a reminder email; you delete the request, or its files are removed under your retention setting; your subscription ends. Open the request and press Pause reminders. Press Resume reminders to start again. The client's upload link keeps working while reminders are paused. A due date is shown to the client in the request and in reminders. It doesn't stop reminders by itself.

What's the difference between Solo and Pro?

Solo allows up to 25 open requests at a time; Pro has no cap. Features are otherwise the same, with one login per account. Team seats and logo branding are not available yet. An open request is one still waiting on the client. Done and deleted requests don't count. At the Solo cap, finish or delete a request, or switch to Pro, to send a new one.

Can I delete a request and its files?

Yes. Open the request and press Delete request. Its uploaded files are removed from storage right away and the client link stops working.

What if a client uploads the wrong file?

Smart Check looks for a match to the item you asked for (for example a W-2 and the right tax year). If it does not look right, the client gets an instant polite re-request. You can also reject an item from the dashboard with a note.

What happens to files after the job is done?

By default, files are purged 90 days after completion. You can set 30, 60, 90, or 180 days.

Is there a free trial?

Yes — 14 days. A card is required at signup. The first charge is 14 days after signup. Cancel anytime from Billing (Stripe customer portal) before then and you will not be charged.

How do I cancel?

Open Settings → Billing and click Manage billing (customer portal), or use the cancel link in the reminder email we send 3 days before your first charge.

What happens to my files if I cancel?

Reminders stop and you lose access to the dashboard and downloads. Nothing is deleted just because you cancel. Completed requests are still purged on your retention schedule. To remove everything now, use Billing → Your data → Delete all my requests and files. That works with or without a plan.
