Service
FilesDue provides software to request, remind, and collect non-medical client documents. Features and pricing may change with notice.
Acceptable use — no PHI
You may not use FilesDue to collect, store, or transmit protected health information (PHI) or for any HIPAA-covered purpose. We do not offer a BAA for this product at launch. Violation may result in account termination.
Your responsibilities
- Obtain appropriate consent from clients before collecting their documents.
- Choose retention settings that match your professional obligations.
- Keep your login credentials secure.
- If you are a tax return preparer or financial institution, you remain solely responsible for complying with applicable laws (including IRC §7216, GLBA Safeguards, and FTC rules) when you instruct FilesDue to process taxpayer or customer information.
Your Content and Data
- License to us. You keep ownership of the content you submit. You grant FilesDue a worldwide, non-exclusive, royalty-free, perpetual, irrevocable, transferable and sublicensable license to host, copy, process, analyze, modify, create derivative works from, and use Your Content and Usage Data to provide, maintain, secure and improve the Service and to develop new products and services.
- AI and machine learning. We may use Your Content and Usage Data to train, test, evaluate and improve artificial intelligence and machine learning models, including models used by us or provided to third parties, subject to the Excluded Data section and your choices described in our Privacy Policy.
- Aggregated and de-identified data. We may create aggregated, anonymized or de-identified data from Your Content and Usage Data ("Aggregated Data"). Aggregated Data does not identify you or any individual. We own Aggregated Data and may use, license, sell and otherwise commercialize it for any lawful purpose, during and after your use of the Service.
- Sharing and sale of data. As described in our Privacy Policy, we may share or sell certain data, including personal information, with partners and other third parties. Where the law gives you the right to opt out, you can do so anytime at filesdue.com/privacy#your-choices or by emailing hello@filesdue.com.
- Survival. This section survives termination, except that we will stop using identifiable data from your account for new model training and sharing after you delete your account, as described in the Privacy Policy.
- Excluded Data. Documents uploaded by clients, and personal information of a customer's clients (names, emails, tax forms, IDs). FilesDue processes these only on the customer's instructions to provide the service; they are never sold, shared or used for AI training. Account and usage data of the professional are covered by the license, AI, aggregated-data, and sharing terms above, and only Aggregated Data may be derived from client records. This section does not override any law or platform policy that limits our use of the Excluded Data.
Third-party platforms
Payments are handled by Stripe and product email by Resend (or another configured provider). Using those features also means following their terms. We will not use their services in ways those terms forbid (for example, Resend does not allow cold email).
Trials and billing
14-day trial with a card required at signup. The first charge is 14 days after signup unless you cancel first (one click in Billing / the Stripe customer portal). Paid plans renew until canceled. Taxes may apply.
Automatic renewal
A card is required to start your trial. After the 14-day trial, your subscription renews automatically and your card is charged the plan amount (Solo $15/mo or $150/yr; Pro $29/mo or $290/yr, depending on the plan you chose) on the date that is 14 days after signup, then on each renewal date thereafter, until you cancel. To cancel: open Settings → Billing and use Cancel or manage billing (Stripe Customer Portal), or use the cancel link in the reminder email we send three days before the first charge. Cancellation is one click. Cancel anytime before the first charge and you will not be billed. Cancel after renewal to stop future charges at the end of the then-current period (or immediately, if you choose that option in the portal).
Referral program
- Give 1 month, get 1 month: when a firm you refer signs up with your link or code and pays its first non-zero invoice, both firms get a credit worth one month of their own current plan (annual plans: one-twelfth of the annual price).
- Credits go on your FilesDue billing account and apply automatically to your next invoice(s). Credits are not cash, have no cash value, cannot be transferred, and are not refundable.
- To earn the referrer credit you need an active or trialing FilesDue subscription when the referred firm pays. You can earn up to 12 referrer credits in any 12-month period.
- No self-referrals: referrals between the same person, the same company email domain, the same billing account, or the same payment card do not qualify. One referral per referred firm.
- Clients who click “Powered by FilesDue” on your upload pages or reminder emails and later sign up count as your referrals under the same terms.
- Sharing your link is optional. If you post about FilesDue to get referrals, say honestly what you think and disclose that you can earn a free month (for example “I get a free month if you sign up”). We never ask for or reward fake or positive-only reviews.
- We may stop or change the program, or withhold credits for abuse, with notice on this page. Credits already earned stay on your account.
